The problem
Sound familiar?
Every organiser we meet runs into the same four things.
Bookings live in WhatsApp
Applications scattered across hundreds of messages. Who has paid? Who has not? Scroll until your thumb aches.
30 coffee stalls at one event
Without quotas one category swallows the whole bazaar — and visitors see five stalls selling the same thing.
The same booth sold twice
Two vendors, one booth, one event day. A single case is enough to damage your reputation.
A spreadsheet that is never right
Three different files, two people editing them, and nobody sure which one is current.
Invoices typed one by one
Eighty vendors, eighty invoices, and serial numbers that collide.
The next event starts from zero
Last year vendor list is on an old phone. Every bit of the work is done again.
How it works
From application to invoice in four steps
Every step leaves an audit trail — who, when, and why.
-
event
Step 1
Set up the event
Dates, venue, SOP, categories with quotas, and booths on the floor plan.
-
fact_check
Step 2
Screen applications
Approve, reject, or waitlist. Quotas are enforced by the system.
-
timer
Step 3
The vendor pays
The booth is held for 15 minutes. Payment lands in your own gateway.
-
receipt_long
Step 4
Contract & invoice
Generated automatically. The vendor accepts, and you keep the proof.
What sets it apart
Why this is not just an online form
Four things that genuinely change how you work.
| Item | verified With UrusVendor | The old way |
|---|---|---|
| Category quotas | check_circle Enforced by the system — the 21st approval is rejected | cancel Count it yourself and hope you do not slip |
| Double-booking | check_circle A database row lock on every booking | cancel Whoever replies on WhatsApp first wins |
| Vendor money | check_circle Straight into your own gateway account | cancel Held by the platform until the event ends |

Modules
Everything an organiser needs
Ten modules that work together, not ten separate tools.
Vendor profiles
Vendors fill it in once and reuse it for every event. You see their history and their cancellation record.
Events & SOP
Dates, venue, opening hours, rules and required documents — all in one place.
Hotspot floor plan
Upload the layout from the venue and drop booth numbers onto it. Vendors pick their booth visually.
Category quotas
A per-category limit that is enforced, not merely flagged. Waitlist once it is full.
Hold timer & locking
Booths are held during payment and released automatically when the timer runs out. No double-booking.
Digital contracts
Templates with placeholders, timestamped acceptance with the IP address, and a PDF for both sides.
Payments & instalments
Your own gateway. Deposit plus balance, with automatic reminders.
Automatic invoices
Serial numbers per company, ready for the MyInvois e-invoicing connection.
Reports & exports
Revenue, booth fill rate, application funnel. Export to Excel at any time.
Pricing
A flat fee, not a percentage of your sales
Pick the size that fits your operation. Move up or down at any time.
A flat fee, not commission. We take nothing from your bookings — vendor money goes straight into your own gateway account.

FAQ
The questions we get asked most
No. We charge a flat subscription fee only. Vendor money goes straight into your own payment gateway account — we are never in the flow of funds.
Two reasons. First, holding third-party money in Malaysia falls under Bank Negara licensing — we sell software, we are not a bank. Second, booth deposits are money you need EARLY to pay the venue, the tents and the printing. Holding it until the event ends breaks your cash flow.
You set a limit per category on each event — for example a maximum of 20 F&B stalls. Once the quota is full the system REJECTS the next approval rather than merely warning you. Suitable applications can be waitlisted and promoted when a cancellation frees a place.
No. Every booking runs inside a database transaction with a lock on that booth row. The second request waits for the first to finish, then fails with a clear message.
No. The vendor portal is a PWA — it opens in the browser and can be installed to the phone home screen. It keeps working when the signal at the bazaar site is poor.
About 10 minutes for the first event: enter the dates and venue, generate a run of booths (A01–A40 in one go), set the category quotas, and publish. Vendor invitations go out as WhatsApp links.
Your data is not deleted when a subscription lapses — you simply lose access until it is renewed. Excel export is available at any time while the subscription is active.
Yes. There is no limit on the number of events on the Pro plan. Each event has its own categories, quotas, booths and prices.
